Baumit – To manage thousands of buildings, emails and spreadsheets aren’t enough.

Baumit has reached a stage where it performs complete management of all its delivered buildings or potentially interesting projects in Jira. Today, they have approximately 3,500 properties in the system.

Through years of successful cooperation, EEA experts have streamlined internal company processes in approving and administrating various potential and realised business cases. Thanks to digitisation, business managers save time on administration and can focus on more essential business agendas.

For example, the GeoData for Jira application within the Atlassian Jira software solution with specific map localisation allows users to search for business cases anytime and see their potential or current realisation status. Thanks to the Atlassian Jira environment, searching for information and communicating interactively with other team members is made very simple, whether the business manager is in the field connecting via mobile or tablet or working from the comfort of their office.

 

“Together with the growing business and the continuously increasing number of business cases, we realised one day the need to continuously process and monitor an enormous number of different properties and business cases, evaluate their potential, and comprehensively manage the sales team’s tasks. Thanks to the current solution, we have also streamlined and sped up the approval process. We are talking about a large volume of data, which is also quite diverse. For our corporate process management system, we chose Jira Software from Atlassian under the umbrella of EEA, part of BiQ Group. This solution has proven to be the most suitable,” says Peter Sziráczki, Sales Director of Baumit Slovakia.

Managing properties through GeoData for Jira

Baumit has reached a stage where it completes the management of all its delivered buildings or potentially interesting projects in Jira. Today, they have approximately 3,500 properties in the system. Each property has a defined exact GPS location, an entered address, and essential information about the contractors or architects. This helps them evaluate individual regions and districts’ overall potential and strength. They have a straightforward overview of properties, their characteristics, and exact locations, enabling them to manage projects more effectively and plan related activities.

 

 

“Claims are a more complex process involving various departments and teams. Previously, we recorded and processed them manually and communicated exclusively via email. In this regard, Jira has primarily helped us from an administrative standpoint. The flow of information, clarity, and structure of records have improved. For example, we can relatively easily determine which product group or specific product had the most claims and uncover potential hidden problems promptly,” explains Sziráczki.

For a smooth process of implementing the Jira system and its tools, it was necessary to train the team members and adapt to the new work style. In this regard, EEA was beneficial, and today, it is evident that the new system has adapted well and has become a reliable and efficient tool for the sales team. Few people in Baumit can imagine managing properties and contacts, the flow of the approval process, or managing claims without Jira. The sales team currently consists of 33 members, led by the sales director and regional sales leaders, supported by quality service from the logistics, controlling, and product management departments.

 

 

“Not only has Jira helped us streamline our work and connect communication within the team, but it has also proven to be an adequate system for internal support and operations. A good example is the approval process for individual business offers, which takes place at various management levels or handling claims, from registration to processing, expert assessment, and resolution. Thanks to the solution and support from EEA, part of BiQ Group, we have managed to digitise many interconnected and synchronised processes with other systems we use,” concludes Peter Sziráczki.
